The package contains:

Registration is binding.

Exhibitor insurance

We require that all participating exhibitors at Röntgenveckan hold liability insurance.

Payment terms

Meetx manages the exhibition and sponsorship for Röntgenveckan 2024 on behalf of the Swedish Association of X-ray Nurses and the Swedish Association of Medical Radiology.

An invoice for 100% of the sponsor and/or exhibitor package will be sent after Meetx has received the contract via the electronic notification. Payment must be received by Meetx before the conference begins. If payment is not received on time, we reserve the right to sell the exhibition space to another company/organization. Payment terms are 30 days. All prices are stated in SEK and exclude 25% VAT.

Provided services according to the agreement can, if the Exhibitor is established outside of Sweden, be considered to be traded in the country in which the exhibitor is registered and covered by the so-called reverse charge. If the exhibitor is established within the EU, a valid VAT number must be sent to the supplier in order for the exhibitor to receive an invoice without Swedish VAT. Processing of personal data

We care about protecting your personal privacy. The information we ask you for in the registration is information we need to be able to carry out the exhibition, logistics, login, payments etc. correctly. We will provide relevant information to our partners (travel agency/hotel/facility and industry) with the same purpose. Neither we nor our partners will share any information with third parties. We may retain your name and email address for future events, but you are always free to decline any invitations.

We may not register your data without your consent, by confirming and clicking in the box ”I have read and agree to the privacy policy” in our registration forms, you agree to us storing your data according to the privacy policy.

Information about the exhibition

WELCOME AS AN EXHIBITOR AT RÖNTGENVECKAN 2024 CONVENTUM ARENA

Röntgenveckan 2024 will be held at the Conventum in Örebro, the conference will be a physical meeting.

In connection with the Röntgenveckans annual conference, an exhibition is arranged where there is a unique opportunity to meet and demonstrate products for the conference’s participants. The target group for the conference is everyone who works in or is interested in radiology and it is one of Sweden’s largest medical meetings.

The exhibition opens Tuesday morning and closes Friday after morning coffee. All coffee during the conference as well as the welcome mingling on Wednesday 17 September have been integrated into the exhibition to maximize the opportunity for exhibitors to meet the participants.

Exhibitors have free access to the scientific program subject to availability.

In order for participation to the trade fair to go as smoothly as possible, it is good to be well prepared. Here on the website, we have compiled practical information about everything related to the exhibition.

Exhibition space

The exhibition takes place in the exhibition hall at the Conventum, all exhibitors gather on one level.

Walls are included in the packages to create uniformity and we have chosen a 1 meter partition between the seats (2 meter partition for booths with 3 meter depth) to make it airy, we wish this to be taken into account when designing the booth.

All lunches and coffee breaks are served in the exhibition.

Moving in

You are welcome to set up your exhibition space on Sunday 15 September between 07.00-20.00 and Monday 16th September between 07.00-20.00 Registration for the participants starts Tuesday 17th September, time will be updated when the program is determined and then we ask that the exhibition areas be ready. Unloading takes place from Conventum Arena Fabriksgatan 28. Cars may drive into the loading square only for unloading, but may not remain. Keep to the right so cars can pass on the left.

Moving out

Friday 20 Sep – After the first coffee break and until 21.00.

Bring the goods directly or pack them up, label them with delivery notes and leave them in the stand for collection. It is important that shipping labels are taped to the goods and that the goods are on a shipping pallet. Check with the Conventum Monterservice before leaving the Conventum. Ordering of collection is taken care of by the exhibitor himself.

Setting up and taking down

During the construction and taking down of the booths, we put out carts and carts on the mezzanine, which are fine to borrow.

Please note that it is not permitted to attach with adhesive pads, double-sided tape or nails/screws to walls, pillars or booth walls. We recommend office tape, freezer tape or adhesive paste instead. If there are marks, you will compensate the Conventum itself for this. Contact Monterservice if you have questions, and they will help you.

Catering

Lunch is included for you during the meeting and this will be served Monday-Thursday at 11:30-13:00.

Catering at the booth

It is not permitted to offer visitors brought food or alcohol in the stands. Sweets and fruit are allowed. Keep in mind, however, that there may be participants who have an airborne allergy to e.g. nuts or citrus fruits.

Cleaning

The exhibitors themselves are responsible for all cleaning in their own stand and that order prevails in it.
Public areas are cleaned by the Conventum after the end of the day. Stand cleaning can be ordered in the order form for Stand service.

Internet

Wireless internet is available throughout the facility. Connect to the network Conventum wifi and password conventum

Packaging & waste

Exhibitors, stand builders and decorators are responsible for disposing of packaging and spills that occur during stand construction and dismantling. Material left behind is removed at the exhibitor’s expense. Garbage cans are available at check-in and check-out!

Parking

Street parking and garages are available near the Conventum. Suitable parking garages are under the Conventum Arena and in the Södergaraget (South garage) on Änggatan (Äng Street).

Sound volume

Maximum permitted sound volume in the booth is 70dBA. It is not permitted to use voice amplifiers at the exhibition.

Insurance

Conventum is not responsible for damage to exhibited items or decorations, regardless of whether the damage was caused by error or negligence by Conventum or by personnel for whom Conventum is responsible. Exhibitors should therefore check that insurance is available. Conventum can arrange a separate exhibitor insurance upon request.

Social program

WELCOME MEETING AT STRÖMPARTERREN – TUESDAY 17 SEPTEMBER
Röntgenveckan 2024 welcomes all participants to one of Örebro’s most historic places. We will spend Tuesday evening at Strömparterren, which is located on Varboholmen. A historic place on an islet in the middle of the stream at Örebro castle park. Holmen got its name after Örebro Castle had its goods stalls on the islet.
The evening offers food and mingling on several levels. Entertainment with a national and local touch.

MINGLE AT THE EXHIBITION – WEDNESDAY 18 SEPTEMBER
During the Wednesday evening of X-ray week, we all meet in the exhibition. After the day’s lectures, we mingle with our exhibitors in a relaxed manner.
Light food and drinks will be offered at the exhibition. Take the opportunity to ask questions, make sure to get a demonstration of the suppliers’ latest products.

BANQUET – THURSDAY SEPTEMBER 19
As tradition dictates, Röntgenveckan holds a banquet on Thursday evening. Then the Conventum’s congress hall is transformed into a banquet hall. With space for all of the week’s participants and exhibitors. A first class 3-course dinner is served. After dinner, there is entertainment that will be difficult not to enjoy.
